SummitGuides Terms and Conditions

SummitGuides is a trading name/brand of K7 S.r.l., an Italian company established under Italian law. References to “SummitGuides”, “we”, “us” or “our” in these Terms and Conditions refer to K7 S.r.l.

Please review our Terms and Conditions before booking a course or activity with SummitGuides.

When we confirm your booking, a contract is formed between you and K7 S.r.l.

Package Travel

Where the services purchased constitute a package travel arrangement under applicable law, K7 S.r.l., trading under the brand name SummitGuides, acts as the organiser of the package.

K7 S.r.l. is responsible for the proper performance of the travel services included in the package, in accordance with applicable Italian and European legislation.

Participants benefit from the rights applicable to package travel under the applicable legislation.

Booking & Payment

To book a course, please complete the booking form by clicking the corresponding "Book Now" button and submit all required information.

If the course has not yet been confirmed by SummitGuides, a deposit equal to 30% of the total course price is required at the time of booking. This deposit is expressly agreed to be a "caparra confirmatoria" pursuant to Article 1385 of the Italian Civil Code. Payments can be made by credit card or bank transfer.

If the course has already been confirmed by SummitGuides, the full course price is due at the time of booking.

Upon receipt of your booking form and payment, SummitGuides will send you a written booking acknowledgment. If the course has not yet been confirmed by SummitGuides, your booking will be considered pending confirmation.

Once the minimum number of participants is reached, we will send you an email confirming the course. From that moment onward, the booking becomes binding and non-refundable. For bookings made before course confirmation, the remaining balance must be paid within 48 hours of receiving the course confirmation email, unless a different deadline has been agreed in writing with SummitGuides. If the remaining balance is not paid within the applicable deadline, the booking will be cancelled and the deposit will be forfeited and will not be refunded.

Until the course has been confirmed by us, any cancellation will be subject to the cancellation fees set out below.

Mont Blanc Course — Special Booking Terms

For the Mont Blanc course a €200 deposit is required at the time of booking.
This deposit is expressly agreed to be a "caparra confirmatoria" pursuant to Article 1385 of the Italian Civil Code. Payments can be made by credit card or bank transfer. Once the reservation at the mountain hut is confirmed, you will be notified by email and asked to pay the remaining balance within 48 hours of receiving the confirmation.

If the payment is not completed within this timeframe, the participant will be removed from the course and the €200 deposit will not be refunded.

If SummitGuides is unable to secure a reservation at the hut, alternative dates will be proposed. If the proposed alternative dates are not suitable, the €200 deposit will be fully refunded.
Once the minimum number of participants is reached, the course is officially confirmed by us via e-mail and the booking becomes non-refundable.

Until that point, the general booking and cancellation conditions below apply.

Cancellation Policy (Before Course Confirmation)

Cancellation requests must be submitted in writing via email and will take effect upon receipt. If the course has not yet been confirmed, you may withdraw subject to the following cancellation fees:

  • More than 120 days before the course starts: no fees.
  • 120 to 91 days before the start date: 30% of the total price.
  • 90 to 65 days before the start date: 50% of the total price.
  • 64 days or less before the start date: 100% of the total price.

Cancellation Policy (After Course Confirmation)

Once a course is confirmed (minimum participants reached), all payments become non-refundable, regardless of the timing of cancellation.

Clients may choose to make travel arrangements, such as booking flights or accommodation, before the course is confirmed. Please note that SummitGuides is not responsible for any costs incurred for such arrangements if the course is yet to be confirmed or if the client subsequently cancels their booking. We strongly recommend purchasing comprehensive travel insurance, including cancellation coverage, to protect against such risks.

Transfer of Booking

A participant may request to transfer their booking to another person who meets all the conditions applicable to the course or activity, subject to applicable law and SummitGuides' approval.

The request must be submitted to SummitGuides in writing and sufficiently in advance of the course start date to allow the necessary arrangements to be made.

Any costs or expenses arising from the transfer, including charges imposed by hotels, huts, transport providers, or other third-party suppliers, will be payable by the original participant and/or the replacement participant.

The replacement participant must provide all information and documentation required by SummitGuides and must meet the physical, technical, and other requirements applicable to the course or activity.

SummitGuides reserves the right to refuse a transfer where it is not reasonably possible due to the nature of the course, availability, logistical constraints, or other legitimate reasons.

A transfer does not entitle the original participant to any refund beyond what may be agreed in connection with the transfer.

Cancellations by SummitGuides

If the minimum number of participants has not been reached 60 days before the course start date, SummitGuides reserves the right to cancel the course. In such cases, we'll notify you and offer the following options:

  • Reschedule at no extra cost.
  • Keep the same dates and pay the difference (based on the number of participants).

If neither alternative suits you, we'll issue a full refund of all amounts paid.
No refunds will be issued if you choose to end a course or activity early.

Non-Refundable Registration Fees

The courses listed below include a non-refundable registration fee to cover initial booking costs, regardless of when you cancel:

  • Mont Blanc course: €140 (except if we are unable to secure the places at the hut).
  • Matterhorn (4-day and 6-day program): 100

Courses & Activities

SummitGuides and our team of mountain guides reserve the right to modify the itinerary, route, or activity if continuing with the original plan poses risks due to weather, conditions, or participant ability. This policy applies to all courses and activities. Courses and training days will run regardless of weather conditions. Safety is the top priority at SummitGuides. Our guides never guarantee reaching the summit or completing the excursion, although they will make every effort to ensure a successful experience. The mountain guide reserves the right to modify the program or itinerary at any time at their discretion, whether due to weather conditions, mountain conditions, or the physical or mental state of the clients. No refunds will be issued in such cases. SummitGuides cannot be held responsible for disruptions caused by strikes, illness, government intervention, weather conditions, or the closure of lifts or huts.

Participant Responsibilities

Participants must ensure they meet all conditions and requirements outlined in the activity description (e.g., physical and mental preparedness, required skill level). If these are not met, the guide reserves the right to deny participation and cancel the booking. In such cases, no refunds will be issued. Participants are obligated to:

  • Comply with scheduled departure times and the planned itinerary, including any adjustments made by the guide.
  • Follow the guide's instructions and advice throughout the activity or trip.
  • Inform the guide of any medical conditions, allergies, or medications that may affect their participation in the activity or trip.
  • Wear appropriate clothing and equipment for the activity or trip, as advised by the guide.
  • Carry all personal waste until it can be disposed of in appropriate bins.
  • Respect the environment by not damaging nature.
  • Behave responsibly during the activity or trip, respecting others, private property, and the guide's instructions.
  • Interact respectfully and inclusively with other group members, fostering a positive and cooperative group dynamic.
  • Stay on the designated route, as advised by the guide.
  • Participants are fully accountable for any actions that may endanger themselves or others, especially if they disregard the guide's advice or take unauthorized personal initiatives.
  • Participants are responsible for ensuring that they hold all passports, visas, permits, travel documents, and other documentation required for the trip. SummitGuides cannot be held responsible for any costs, losses, or disruptions resulting from a participant's failure to meet applicable entry or travel requirements.

Late Arrival / No-show

Participants are responsible for arriving at the designated meeting point at the scheduled time. Delays, missed transfers, late arrivals, or failure to attend may result in the loss of part or all of the services booked, without refund. Any additional costs resulting from a participant's late arrival or failure to attend will be borne by the participant.

Insurance

It is your responsibility to ensure you have adequate insurance coverage for all activities you participate in. SummitGuides recommends obtaining cancellation and travel insurance to protect against last-minute changes or injuries.
Your insurance should cover helicopter rescue, repatriation, and medical costs in case of an accident.
Additionally, we have partnered with WetterHeld GmbH and with Global Rescue to offer insurance coverages. Please note that SummitGuides bears no responsibility for this insurance partnership or any related claims. For more information about this optional coverage, please contact our office.

Course Descriptions

SummitGuides strives to maintain accurate and up-to-date information on our website and in our marketing materials. However, we cannot guarantee the absence of discrepancies. If you have any questions or need clarification about a specific course or activity, please don't hesitate to contact us directly.

Complaints

If you experience any issues during your course, please inform a SummitGuides team member or your guide immediately. This allows us to address the matter promptly and effectively.

Participants should give SummitGuides a reasonable opportunity to address and remedy any issue during the trip before making a claim for compensation or other remedy.

Image Rights

Participants acknowledge and agree that photographs and videos may be taken during SummitGuides courses, activities, and tours. By participating, participants grant SummitGuides the right to use photographs and videos in which they may appear for promotional, marketing, and commercial purposes, including on the SummitGuides website, social media channels, advertising materials, brochures, and other communication channels.

This permission is granted free of charge and applies worldwide, without limitation in time. SummitGuides will not use such photographs or videos in a manner that is defamatory, misleading, or otherwise inappropriate.

Participants who do not wish to appear in photographs or videos used for promotional purposes may notify SummitGuides in writing before the start of the course or tour.

Governing Law

Any contract established with SummitGuides will be governed by Italian law.

Privacy

Personal data provided by participants will be processed by K7 S.r.l. in accordance with its Privacy Policy and applicable data protection legislation.
